Welcome to the Resident Data Analyzer!

The Resident Data Analyzer is designed to help long-term care teams better understand and plan for resident needs. By combining information from Electronic Medical Records (EMR) with advanced analytics, the tool provides insights into each resident’s health profile and predicts life expectancy.

What this tool does

  • Guides you step by step through gathering resident information from EMR
  • Merges demographic and clinical data into a single resident record
  • Uses a predictive algorithm to analyze this data and generate predictions
  • Provides clear, actionable insights to support resident care planning

How it works

You’ll complete a series of short tasks. Each task will walk you through exporting data from EMR, pasting it into the tool, and processing it. Once all tasks are complete, the tool will generate a report with your residents’ information and predicted outcomes.

Before you start

  • Make sure you have access to your EMR with the right permissions
  • Be prepared to copy and paste reports directly into the tool
  • Allow a few minutes to complete each step
Task One

Gather Residents Information From EMR

Connect to the EMR and bring resident demographic information into the analyzer tool.

Note: You can only pull the required information from Point Click Care (PCC) if you have the following permissions: (a) permission to generate reports, (b) permission to generate the "Resident Response Analyzer" report. If you do not have these permissions, contact your home's administer to request these permissions.

Step 1: Login to Login to your EMR system.

We will now collect the residents' demographic information, from the RAI-MDS facesheet. Directions in [ ] help you navigate Point Click Care (PCC) by indicating where the function is.

Step 2: Click on the 'Reports' tab [top]. 

Step 3: Click on the 'clinical' sub tab [top]. 

Step 4: Click on 'assessment' [left pane].

Step 5: Search for "Resident Response Analyzer" in the search bar. 

Step 6: Click on "Resident Response Analyzer (Clinical - Assessments)"

Step 7: Define a date range. 

*Please note, PCC date range is limited to 100 days and will only pull new admissions that occur within the 100 days. 

*To pull all residents within your home, you will need to pull multiple facesheets. 

*We recommend pulling information for a 5-year period to capture most residents. However, you know your residents best and how long they've been in your LTC home, therefore select a period that makes sense. 

Step 8: Select the assessment type: Canadian CCRS MDS 2.0

Step 9: Click the button beside ‘Select’ [middle]

For Steps 10-13, you will need to repeat these steps for the following:

Step 10: Select the applicable section  in the “Section/Group” drop down menu. 

Step 11: Click on the applicable hyperlinked question text. 

Step 12: Click on the applicable Responses to Include. 

Step 13: Click “Update”. 

Repeat steps 10-13 to include all the section/groups and question text in the Table. 

Step 14: Click the button beside “One or more conditions met” beside ‘Report on’

Step 15: Click “Run Report”

Step 16: Select all information on the report. Options:

  • Mouse: Right click, select all
  • Keyboard: CRTL A

Step 17: Copy all information on the report. Options: 

  • Mouse: Right click, copy
  • Keyboard: CRTL C

Step 18: Paste all information into the box in the (planning Tool/resident response analyzer) 

*To shorten this step the next time you run RESPECT, we recommend you paste all facesheets into a document that you can access later (e.g., on an internal server), so that you will only need to run facesheets for the new admissions.

Step 19: Click “Parse Facesheet”

Task Two

Gather Point Click Care Clinical Assessments

Import resident clinical assessments from Point Click Care (PCC) to support analysis within the tool.

Step 1: Login to your EMR system.

We will now collect the residents' clinical information, from the RAI-MDS clinical assessment. Directions in [ ] help you navigate Point Click Care by indicating where the function is.

Step 2: Click on the 'Reports' tab [top]. 

Step 3: Click on the 'clinical' sub tab [top]. 

Step 4: Click on 'assessment' [left pane].

Step 5: Search for "Resident Response Analyzer" in the search bar. 

Step 6: Click on "Resident Response Analyzer (Clinical - Assessments)"

Step 7: Define a date range. 

*Please note, PCC date range is limited to 100 days.

*We recommend a 3-month period to capture the most recent quarterly assessments.

Step 8: Select the assessment type: Canadian CCRS MDS 2.0

Step 9: Click the button beside ‘Select’ [middle]

Review Your Merged Data

Your data has been merged. You will now see your residents’ facesheets have been matched to their clinical assessments.
